Simplified Workflow to Track and Search Donor Payment Activity
Situation
Fragmented Payment Tracking System & Disorganized Client Information
The client was using spreadsheets to track payments and attendance to their events.
They wanted to be able to streamline the process, improve tracking and move the data
into a more secure environment. They already had a contact database in ACT and wanted
that information to be accessible from any new application to eliminate double input.
An additional difficulty was that ACT allowed so much customization that Client started
storing address and contact information in different places.
Solution
Upgraded Database and Built Reporting Interface for Easier Client Management
Blackland worked with IT support to upgrade ACT to a SQL Server version. We created a
separate database with tables and stored procedures for the events and payments on the
SQL Server. We designed and built an Access interface so that the users could update
the data and generate reports across systems. Finally, we trained the users and supplied
supporting documentation.
Result
Increased Productivity & More Efficient Workflow
The client was able to more efficiently track and search through payments and events.
The initial release was so user-friendly that Blackland returned to add a mailing list functionality,
creating a comprehensive client management system. The effort took approximately
10 days.
